What it is

Otter.ai transcribes meetings, writes summaries and action items, and since April 2026 sells itself as the place an entire company’s spoken record lives rather than a notepad each person runs alone. Sam Liang co-founded it in 2016. Capture is bot-based: an Otter assistant joins Zoom, Google Meet, and Microsoft Teams calls off your calendar and shows up in the participant list.

The April 28, 2026 release is what moved it onto ops shortlists instead of individual ones. Otter called it a conversational knowledge engine and shipped three things under that banner: AI Chat rebuilt as one interface that answers against a single meeting or the whole history; connectors that pull Gmail, Google Drive, Notion, Jira, and Salesforce into that chat; and an MCP server that lets Claude or ChatGPT read Otter’s meeting archive from outside. Otter for Desktop (macOS and Windows) shipped alongside it and captures audio from any application, which closes the in-person and ad-hoc gap that bot-only capture leaves open. Live Assist, a live in-call coaching agent, followed on July 21, 2026.

Why it shows up in ops stacks

  • It is already installed. Otter reports 86% of the Fortune 500 and 88% of the Forbes Cloud 100 as customers, 35 million users, and over a billion meetings transcribed. Those are vendor figures, and the practical effect is that the decision is normally “consolidate onto what half the company already expenses” rather than a green-field pick.
  • Unlimited transcription at $19.99. Business drops the minute cap entirely and raises the per-meeting ceiling to 4 hours. Granola caps history on its free tier and Fathom meters imports on its free plan; if the requirement is an archive nobody has to ration, Otter’s Business tier is the cheapest way to get one from a vendor that also clears enterprise procurement.
  • The archive is queryable from outside. The MCP server is the org-wide pole this category was missing — Claude or ChatGPT reading three years of customer calls is a different asset from a folder of summaries. Fireflies.ai and Granola ship MCP too, but neither carries Otter’s install base, so the retrieval surface is smaller in practice.
  • Agents are separate SKUs, sold by sales. The March 2025 suite — Meeting Agent (voice-activated, answers in-call and drafts follow-ups), Sales Agent (real-time rep coaching, enterprise only), and SDR Agent (runs autonomous product demos for site visitors) — carries no public price. Treat it as a second negotiation, not a tier feature.

Pricing

Per user per month, from Otter’s pricing page. Otter publishes both rates, and the annual discount is steep enough to change the comparison:

  • Basic — $0. 300 transcription minutes a month, a 30-minute cap per meeting, 3 lifetime file imports, and 20 AI Chat queries a month.
  • Pro — $16.99 monthly, $8.33 annually. 1,200 minutes a month, 90-minute meetings, 10 imports a month, 2 concurrent meetings, plus the Salesforce, HubSpot, and Zapier integrations and team vocabulary.
  • Business — $30 monthly, $19.99 annually. Unlimited meeting and recording transcription, unlimited imports, 4-hour meetings, 3 concurrent, custom AI workflows, admin activity logs, and usage analytics.
  • Enterprise — custom, demo-gated. SSO, SCIM, Domain Capture, the API and webhooks, video replay, unlimited custom workflows, a HIPAA add-on, and the AI Chat connectors for Gmail, Google Drive, Notion, and Jira.

Two numbers matter in a bake-off. Annual Business at $19.99 sits within cents of Fireflies Business at $19 and $6 above Granola Business at $14 — but month-to-month Business is $30, so a team that will not commit annually pays more than double Granola’s rate for the same seat.

Best for

  • Ops leaders standardizing a company-wide meeting archive rather than buying a per-person notetaker, especially where Otter is already expensed across departments and consolidation is the actual project
  • Teams that want meeting history readable by an internal agent over MCP and can commit annually at $19.99 a seat
  • Enterprise buyers who need SSO, SCIM, Domain Capture, and a HIPAA add-on from the notetaker vendor and cannot get all four from the smaller entrants

Alternatives — and when to pick them instead

  • Granola — pick it when participants decline recording bots or the conversation happens in a room. Capture is on-device with nothing in the participant list, and Business runs $14 against Otter’s $19.99. You give up the install base and the enterprise procurement story.
  • Fathom — the fastest-growing entrant in the category, and the pick when a free tier has to carry real work: unlimited recording and summaries at $0 against Otter’s 300 minutes and 30-minute meeting cap. Team Edition at $29 buys CRM writeback.
  • Fireflies.ai — the closest substitute at $19 annually on Business, and the pick when connector breadth decides it. Same bot-in-the-call trade as Otter, so choose on the integration list and on whether the litigation below changes your risk math.
  • Gong — a different purchase, not a pricier Otter. Pick it when the requirement is deal scoring, forecast risk, and a rep-coaching program. Otter’s Sales Agent and Live Assist coach in the moment; they do not score a pipeline.

Watch-outs

  • Otter is a named defendant in active recording-privacy litigation. In re Otter.AI Privacy Litigation (No. 5:25-cv-06911, N.D. Cal.), consolidated from four suits filed August through September 2025, alleges Otter recorded conversations and trained on them without all-participant consent. On August 13, 2026 the court dismissed the CFAA, CDAFA, and Washington Privacy Act claims but let the CIPA, federal Wiretap Act, and BIPA claims proceed, holding that Otter acts as a third-party eavesdropper under CIPA section 631 because it retains and uses recordings for its own commercial purposes. CIPA carries $5,000 in statutory damages per violation. Guard: before rollout, switch off whatever training-on-your-data setting your tier exposes, put verbal-notice language into the meeting template for the two-party-consent states — California, Pennsylvania, Illinois, Washington, Florida — and route the DPA past counsel instead of accepting the click-through.
  • The tier carrying the enterprise story is the one with no price. SSO, SCIM, Domain Capture, HIPAA, the API, and the AI Chat connectors are all Enterprise, and Enterprise is demo-gated. Guard: name the four capabilities you actually need before the first sales call and price them there — discovering at rollout that SCIM is a tier up turns a $19.99 seat into a renegotiation.
  • Pro’s caps break the archive use case. 1,200 minutes a month is roughly 20 hours, which one full-time CSM or recruiter burns in a week and a half, and the 90-minute meeting cap truncates QBRs and panel interviews mid-sentence. Guard: if the searchable record is the reason you are buying, skip Pro and evaluate on Business, where transcription is unlimited and the cap is 4 hours.
  • The agents are not in the price you compared. Meeting Agent, Sales Agent, SDR Agent, and Live Assist are quoted by sales, separately from seats. Guard: if an agent is the reason for the purchase, get its number in writing before signing the seat contract — a seat-price comparison against Granola or Fireflies is not the comparison you are actually making.
